eProductivity day 3 – the weekly review – #GTD

As I yesterday migrated all my actions to eProductivity today was a regular day in production with the new system. And even though it was a day with more meetings than earlier this week it was easy to stay on empty in-boxes. I noticed even it to become a fun game almost to get the in-box to empty as soon as possible after coming back from a meeting. The In-box Coach does a nice job in reminding you of the GTD workflow and with that it is quite easy to run through the thinking process of the workflow every time a mail needs handling and hence keep the in-box to empty.

Realizing that my regular weekly review time on Friday would be under pressure due to other meetings and a comment Eric Mack made to me on Twitter earlier this week about another embedded coach, the Weekly Review Coach, made me decide to do the Weekly Review this week a day early. So tonight I sat down and fired up the Weekly Review Coach from the eProductivity menu. Normally I would follow the process guided by my own MindMap, however having the guidance embedded in the system where you also keep the remainder of the trusted GTD system makes the Weekly Review process relatively easy and fun to do. Eric combined the guidance with the ability to open actions, projects, and other lists from within the review coach. So without leaving or switching applications the review takes place and is was for me Today done within 45 minutes. Now of course I only switched to eProductivity earlier this week and at that moment I more or less already did a sanity check on all of my actions, but still the whole coaching process is very thorough. Unless you choose to skip steps you will not easily forget elements of the review. It made me for instance realize that I need to refresh my Horizons of Focus and I decided to make a separate action for that as it would take a bit more time to bring them up to date then I would like to spend working on it during the review.

Now after the first Weekly Review the system goes really into production, still some points of attention for me, but those are outside eProductivity. I for instance need to find a way to synchronize more effectively with my mobile device to have a better overview of actions on the go. Currently Lotus Traveler synchronizes all of my actions and I would appreciate selective synchronization. Home or Office context are not really needed on the go, Errands and Calls would be handy to have available. Well, something to sort out still (indeed it is an action in my next action list). As for eProductivity, I have seen so many smart things in there that I am sure that I will run into more smart surprises over the next period having it in production, so stay tuned, I will blog about it!
