Working with eProductivity for just over a month now it is has become a normal part of my daily way of working. And as blogged about it before it has greatly helped me to become more productive. There are some elements still that make me sometimes wonder how I could be doing it more effectively. Reading the blog of Paul Gardner I recognized Paul experiencing a similar struggle. Many projects in the project list and even more actions tied to them. David Allen mentioned in the Making It All Work seminar in Amsterdam that an average of 30 to 100 projects per person would be normal. Wich means that with 32 current projects I even seem to be at the low end of the average spectrum. Still I felt to loose oversight in some cases. Reading Paul’s post I realized that I too might have a need for categories in projects. From a work perspective I only work with two external parties, so it would make sense to create subcategories in the format of party1\project1 party2\project_abc etc. And with that create a better overview. So, that’s what I am trying out now, still I am not convinced that this will be the way to go. It does provide a better overview in the project list, but not (yet) in the views where I need to connect an action to a project. There might be some settings in the extensive eProductivity preferences that I need to adjust to also change that view. Will probably need to talk to eProductivity support about it.
One of the goodies of eProductivity showed up late last week when I caught myself having 24 emails in the inbox, of which the oldest was already 5 days old. Clearly not a sign of good GTD practice, was I falling of the bandwagon? Could not be, after all I am using eProductivity. I realized that the right most window in eProductivity that I currently had open in my email folders also offered the option to call up the In-box Coach, which shows the GTD workflow for processing and organizing. A handy reminder of the process right there while processing emails. So I called up this In-box Coach and followed the workflow for each email in my in-box and was quickly back to empty again by turning the emails into actions or simply trashing them where applicable. Thanks to the eProductivity In-box Coach I was not fallen off the GTD bandwagon!
